THREE TOOLS. ONE PURPOSE.
Every issue is different. So is the way we approach it.
At S.H. Held Systems, we work with complex issues and problems that do not make sense, do not sit neatly within one area, or where the path forward is unclear.
You do not need to know which service you require before submitting your issue.
We determine the appropriate approach, define the scope and provide a tailored quote before any work begins.
The purpose is simple: to create clarity and understanding around what is happening and what is required to move forward.
DEFINED SYSTEMS REVIEW
A Defined Systems Review examines the relevant information and documents to explain what appears to be happening, what does not align with the intended outcome, and what remains unresolved.
The review identifies supported findings, gaps and unanswered questions, including where progress appears to have stalled and why, where supported by the available evidence.
You receive a written explanation of the findings, their significance, and the information, actions or specialist input needed to move forward.
Your submission forms the basis of the proposed review. S.H. Held Systems establishes the scope, information to be considered, reporting requirements and fee for agreement before work begins.
The scope and fee reflect the complexity of the issue, volume of material, depth of analysis and reporting requirements. A defined issue may require a concise review and findings letter; a more complex matter may require detailed examination of multiple documents, events, requirements or areas of the system and more comprehensive reporting.
HELD SYSTEMS DECODE
A Held Systems Decode is a deeper investigation where a Defined Systems Review identifies that the issue cannot be adequately resolved through review of the immediate problem alone.
The Decode traces how information, decisions, responsibilities, processes and dependencies connect across the relevant system. It reconstructs the path of the issue to establish where the first material breakdown occurred, how subsequent events or interfaces have affected the outcome, and why the issue has remained unresolved.
Findings are tested against the available evidence, with missing information, competing explanations and remaining uncertainty clearly identified.
You receive a diagnostic report explaining what has been established, how the system reached its current position and the practical path forward, including the sequence of next steps, relevant dependencies and any specialist input required.
The investigation scope, deliverables and fee are agreed before the Decode begins.
SYSTEMS WE WORK WITH
Our services may be applied across:
• Operational systems
• Organisational systems
• Information and document systems
• Commercial and administrative systems
• Digital and technology systems
• Technical and physical systems
• Interfaces between systems
A matter may involve one or several of these systems, but each engagement remains limited to the nominated issue and agreed scope.
Each Defined Systems Review or Held Systems Decode is undertaken in relation to a nominated issue and agreed intended outcome. It is not a general review of every system, document or issue within an organisation.
Where additional or separate issues are identified during an engagement, S.H. Held Systems will complete the agreed work and report the outcome relevant to the original scope.
Any additional work will be separately scoped and priced before proceeding.
INFORMATION WE MAY REVIEW
Depending on the nominated issue and agreed scope, a review may examine information and materials including:
Requirements and intended state
Policies, procedures, SOPs, scopes, contracts, specifications, service standards, KPIs, organisational charts and role descriptions.
Process evidence
Workflows, process maps, work instructions, forms, checklists, approvals, schedules and handover documents.
Operational records
Job records, work orders, tickets, logs, registers, maintenance records, production records and inventory records.
Information flow
Emails, correspondence, meeting records, reports, dashboards, system outputs, spreadsheets and relevant software records.
Commercial evidence
Quotes, purchase orders, invoices, budgets, procurement records and supplier information where relevant to the nominated issue.
Outcome evidence
Complaints, defects, delays, rework, incidents, performance data, audit findings and previous professional reports.
SPECIALIST BOUNDARIES
S.H. Held Systems may review information and material produced by specialists where it is relevant to the nominated issue and agreed scope.
Reviewing specialist material does not mean S.H. Held Systems is providing the specialist service itself.
S.H. Held Systems does not replace legal, engineering, accounting or other appropriately qualified professional services.
We can review what has already been done, what the existing information establishes, what remains unresolved and what needs to happen next.
DESIGN
When the outcome is known, but the system required to achieve it is not.
DECODE
When something exists, but it is not making sense.
INVESTIGATE
When something is not adding up and the facts need to be established.
